The 4 Stages of EAM Implementation

Stage 1 – Go-Live: The benefits are tactical

At Stage 1 – most of the benefits that you can expect would be “tactical”

  1. All of your asset data is in one place
  2. Everyone has access to the same data
  3. The ability to store documents in one system. EAM users have versions of documents stored in many different places: Excel sheets, Accounting system etc.
  4. Asset primary records
  5. Photos of the asset
  6. Parts information
  7. Work Tasks
  8. Photos of the work being performed
  9. Photos of damage (in the case of vandalism or accident damage, etc.)
  10. Test results (Forms, photos, etc. of a test performed on a piece of equipment)
  11. Employees
  12. Certifications / test results
  13. Copies of employee employment records (HR)

An EAM system allows organizing these files, and the information / documents are readily available for reference or during maintenance and repair activities.

Stage 2 – Incremental Improvements: Learning curve efficiencies start in documentation

Stage 2 – Your staff are using the system to perform maintenance tasks (Repair Work Tasks and Preventative Maintenance / Inspections). Most of the asset data you and information that you need is being stored in the system, and staff are beginning to see some efficiencies.

Stage 3 – Extend Capabilities: Roll out of additional functionality

Stage 3 – At this point in the system implementation, your staff are using the system efficiently, and asset data is being stored in the system. Your staff using the system are comfortable with the maintenance practices and are starting to explore some of the “advanced” features inside of the system.

  1. Performing maintenance on more complicated or “unique assets”
  2. Running complicated or “unique” PM and Inspection schedules
  3. Advanced shop scheduling capabilities

Stage 4 – Create New Capabilities: Using clean, integrated data to create new capabilities

Stage 4 – At this point, your staff are using the system efficiently for basic and advanced asset maintenance activities. These could include:

  1. Interfaces with other functions in the platform
  2. Accounting (already integrated)
  3. HR (already integrated)
  4. Fuel (part of the Fleet Management System)
  5. New functionality that can be implemented as part of a future software enhancement, using the customization tools

All of these stages of the project are important and will bring their own benefits to an organization. However, Stage 1 should not be overlooked, as the immediate benefits of having a “centralized” system with all data and files associated with your assets in one place are beneficial.
